Role Overview


The Administrative Assistant will be responsible for delivering essential administrative support within the Adjudication department. This role requires strong organizational skills, attention to detail, and the ability to manage multiple tasks efficiently.


Key Responsibilities


Compliance Administration
โ€ข Maintain accurate and up-to-date documentation for departmental operations.

โ€ข Ensure all activities comply with internal policies and established process guidelines.

โ€ข Stay informed about company standards and objectives to uphold compliance and effective internal controls.

Office Coordination
โ€ข Conduct follow-ups on pending tasks and requests.

โ€ข Respond to and address inquiries within specified timeframes.

โ€ข Ensure departmental stationery and office supplies are adequately stocked.

โ€ข Verify and validate submitted documents for accuracy before processing.

โ€ข Maintain and update necessary records and databases.

โ€ข Identify duplicate queries, requests, and documents, and escalate them as needed.

โ€ข Assign reference numbers to incoming documents and accurately capture information in relevant systems.

โ€ข Allocate cases and responsibilities to team members efficiently.

โ€ข Draft and distribute official correspondence to stakeholders.

Meeting Coordination
โ€ข Schedule meetings and appointments as required.

โ€ข Assist in recording and distributing minutes in accordance with governance protocols.

โ€ข Maintain a structured tracking system for outstanding matters.

โ€ข Develop and implement follow-up plans to ensure meeting resolutions are executed.

โ€ข Confirm meeting schedules and manage team calendars.

โ€ข Arrange internal and external stakeholder meetings as necessary

Document & Records Management
โ€ข Oversee document management processes in alignment with the RAF filing system.

โ€ข Ensure the filing system remains up-to-date and well-organized.

โ€ข Retrieve documents efficiently upon request.

โ€ข Maintain confidentiality of sensitive information and ensure documents reach the appropriate recipients.

โ€ข Log incoming documents, assign file numbers, record data in the system, and store files correctly.

Minimum Qualifications


โ€ข Matric / Grade 12 certificate.
