In this role, youโll be at the heart of our branchโs operations, ensuring that our administrative processes are accurate, up-to-date, and in line with company policies. From handling delivery documents and processing claims to supporting stock takes and resolving client queries, your contribution will directly impact our efficiency and customer satisfaction.

Your Key Responsibilities
Administration Clerk
โข Receive and compare incoming stock with delivery notes to ensure accuracy and completeness
โข File and maintain delivery documentation in an organized and accessible manner
โข Ensure system document sequences are correct and all entries are processed timeously
โข Collect, process, and reconcile electronic invoices, linking them with relevant delivery notes and purchase orders
โข Handle various types of claims, including warranty issues, short or surplus deliveries, damaged items, and expired stock
โข Communicate clearly with both internal and external clients, addressing and resolving queries promptly
โข Generate daily, weekly, and monthly administrative and inventory reports (e.g., outstanding claims, stock variances, purchase order status)
โข Assist with quarterly stock counts, prepare stock take reports, and capture data in the system
โข Monitor and report stock discrepancies, escalating issues to the line manager as needed
โข Follow up with suppliers regarding outstanding invoices, credit notes, and stock inconsistencies
โข Confirm that item codes, prices, and quantities are accurate and align with purchase orders and physical stock
โข Perform daily cash-ups, ensure all financial discrepancies are reported, and handle surpluses or shortages according to company policy
โข Liaise with the Regional Banking Clerk for daily cash reporting and reconciliation
What Weโre Looking For
Administration Clerk
Educational Background:
โข A completed Grade 12 certificate is essential
Work Experience:
โข A minimum of 1 year of administrative experience, preferably in a retail, inventory, or logistics setting
Technical Skills:
โข Proficient in Microsoft Office (especially Excel, Word, and Outlook)
โข Comfortable using internal systems and handling digital document workflows
โข Strong numerical ability and analytical thinking
Soft Skills & Attributes:
โข High attention to detail and accuracy in every task
โข Self-discipline and a strong work ethic
โข Dependable team player who thrives in a supportive environment
โข Excellent communication skills (verbal and written)
