This role is central to the smooth flow of information between warehouse operations and client requirements. Your core responsibilities will revolve around data entry, container tracking, dispatch, reporting, and handling administrative communications—ensuring that every movement is recorded accurately and in compliance with internal SOPs and client expectations.

The successful candidate will manage all administrative activities relating to:
• Container movements

• Receiving and dispatching

• Inventory management

• Customer and management communication

You will be expected to perform these duties in accordance with Bidvest IL’s Standard Operating Procedures (QWI), while ensuring that all performance KPIs are met with precision and timeliness.


Minimum Qualifications

• Grade 12 / Senior Certificate

• Computer Literacy: Proficient in MS Office applications including Outlook, Word, and Excel

Required Experience

• Minimum 2 years’ experience in data capturing

• At least 2 years of experience working with Warehouse Management Systems (WMS) or equivalent inventory management software

• Experience in administrative tasks such as processing, filing, emailing, and telephonic communication within a logistics or warehousing environment

Key Responsibilities

General Administration
• Provide clerical and administrative support such as mailing, faxing, scanning, copying, and filing

• Maintain both electronic and hard copy filing systems

• Perform high-volume and accurate data entry

• Respond to customer inquiries via telephone and email

Operational Execution
• Process inventory-related documentation and support daily activities including:

• Robbing & Repack

• Devanning

• Receipts & Dispatching

• Stock Management

• Creating items in WMS

• Participate in weekly and monthly stock takes

Stakeholder Liaison
• Maintain effective communication with internal stakeholders (intermodal teams) and external clients (logistics coordinators)

• Ensure all client expectations are met and exceeded where possible

Reporting
• Prepare daily, weekly, and monthly operational reports such as:

• Live client call-off dashboards

• Container inventory count reports

• Yard verification reports

• Monthly stats reports

• Maintain full compliance with management reporting schedules and formats

Skills and Competencies
