We are seeking a professional and welcoming Receptionist to serve as the first point of contact for our company. The ideal candidate will be responsible for managing front desk operations, greeting guests, handling correspondence, and ensuring smooth communication within the company.

Minimum Qualifications & Experience

โ€ข Education: Grade 12 (Matric) is required. Additional certification in Office Management or a related field is advantageous.

โ€ข Work Experience: Prior experience as a Receptionist, Front Desk Officer, or in a similar role.

โ€ข Software Skills: Proficiency in Microsoft Office applications is preferred.

Required Knowledge & Skills

โ€ข Experience operating office equipment, including printers.

โ€ข Familiarity with phone systems and switchboard operations.

โ€ข Strong organizational and multitasking abilities.

โ€ข Excellent verbal and written communication skills.

โ€ข Professional appearance and demeanor.

โ€ข Ability to handle pressure and resolve issues proactively.

โ€ข Strong listening and telephone etiquette skills.

โ€ข Customer service orientation.

Key Responsibilities

1. Call Management

โ€ข Answer, screen, and transfer incoming calls efficiently.

โ€ข Provide accurate information to customers via phone or email.

โ€ข Direct customers to the nearest butcheries.

โ€ข Maintain and update the telephone directory monthly.

โ€ข Operate the companyโ€™s telecommunication system.

2. Handling Customer Complaints

โ€ข Contact customers to gather complaint details.

โ€ข Log complaints and share reports with relevant departments.

โ€ข Arrange replacement stock for affected customers.

โ€ข Provide feedback to customers regarding their complaints.

โ€ข Process E-wallet payments when required.

3. Office Supplies Management

โ€ข Order and maintain stock of office stationery.

โ€ข Manage procurement of cleaning supplies and other office necessities.

โ€ข Arrange for business cards for employees and store cards for the sales team.

4. Guest Reception & Assistance

โ€ข Greet visitors warmly and direct them appropriately.

โ€ข Offer refreshments to guests.

โ€ข Accept and distribute courier parcels and mail deliveries.

โ€ข Assist visitors with Wi-Fi access when needed.

5. Administrative & Clerical Support

โ€ข Provide administrative assistance to various departments.

โ€ข Perform clerical tasks such as filing, photocopying, and document transcription.

โ€ข Keep the reception area clean and organized.

โ€ข Ensure availability of necessary materials (e.g., pens, forms, COVID-19 registers, and brochures).

โ€ข Maintain and upload the COVID-19 Attendance Register daily.
