Job Description
An online personal development coaching business is seeking a full-time remote Administrative Assistant to join as an Independent Consultant. Occasional ad-hoc in-person meetings in Noordhoek, Cape Town (own transport required). Immediate start.
Responsibilities:
- Organise and maintain emails
- Manage calendars and scheduling
- Provide general administrative support (document organization, data entry, filing, and systems management)
- Support and coordinate logistics for business trips/retreats
- Engage with clients and learn the companyโs communication style
- Track expenses, generate invoices (Xero), and liaise with accountants
- Handle the client database, create newsletters, and maintain membership portals
- Adapt to changing priorities and environments
- Handle confidential and sensitive information with discretion
Requirements
- Strong organisational skills to manage tasks, schedules, and priorities
- Ability to multitask and maintain attention to detail
- Excellent written and verbal communication skills
- Problem-solving abilities and critical thinking
- Tech-savvy and comfortable with software like Google Workspace, Dropbox, Canva, Xero, Trello, Slack, and Stripe (familiarity with Kartra is beneficial)
- Attention to detail for accurate task execution
- Effective time management skills to prioritize tasks and meet deadlines
- Accountability and ownership of work, ability to work independently and within a team
- Being flexible in handling changing priorities and environments will be a key to success. Sometimes deadlines do not fall within standard working hours, so flexibility around this is important.

- Previous experience in the online coaching industry is beneficial but not required
