Why This Role Matters
As a Union Administrator, you’ll play a key role in bridging communication between Volkswagen South Africa and the National Union of Metalworkers of South Africa (NUMSA). This role requires a highly organized, trustworthy individual who can handle sensitive information with discretion while ensuring seamless administrative support for union operations.
You’ll be contributing directly to the effective functioning of one of the most crucial pillars of workplace culture—employee representation. It’s more than just a job; it’s an opportunity to foster harmony and ensure that workers’ voices are heard and respected.
What You’ll Do – Key Responsibilities
• Ensure the smooth and efficient day-to-day operations of the union office.
• Manage a wide range of administrative tasks including filing, typing, scheduling, and document handling.
• Keep a close eye on union membership stats and process all membership-related paperwork.
• Monitor office supplies, including stationery and telephone usage, ensuring optimal budget control.
• Communicate and liaise with internal and external stakeholders, including plant representatives, regional and national union offices.
• Oversee the scheduling and coordination of full-time shop stewards’ diaries and union-related events or meetings.
• Maintain accurate records and filing systems for quick retrieval of reports and official documents.
• Facilitate coordination between union members, shop stewards, and the broader organizational structure of NUMSA and SAFTU.
• Support the union’s participation in workshops, subcommittee meetings, and safety initiatives.
• Ensure compliance with health and safety regulations within the union office environment.
• Manage logistics and vehicle use for union business within VWSA.
What You’ll Bring – Qualifications & Skills
Minimum Requirements:
• Matric Certificate (Grade 12)
• At least 3 years of experience in an administrative or secretarial role
• Valid driver’s license is essential
• Proficiency in MS Office Suite (Word, Excel, Outlook, PowerPoint)
• Excellent written and verbal communication skills
• Strong interpersonal skills and a collaborative mindset
• Capable of working under pressure and managing multiple priorities
• Integrity and discretion when handling confidential information
• Proven ability to work independently with minimal supervision
• Sound understanding of union structures and decision-making processes, particularly those related to NUMSA, COSATU, and SAFTU
Preferred Qualifications (An Advantage):
• A recognized Secretarial or Office Administration Diploma/Certificate
• Hands-on experience in the Trade Union Movement or similar environments
