Job Overview

Client Services Administrator

We are seeking a Client Services Administrator to join our dynamic branch team in Parow. This role involves providing exceptional first-line support to clients while assisting with sales support and administrative tasks.

Key Responsibilities

1. Client Service Excellence

โ€ข Handle client queries regarding policy contracts, maturities, amendments, loan applications, and cancellations

โ€ข Maintain accurate client records by updating personal details and AIMS notes

โ€ข Offer expert guidance on products and services in line with Treating Customers Fairly (TCF) principles

โ€ข Keep clients informed about any changes to their policies

โ€ข Work closely with internal departments to resolve client issues efficiently

โ€ข Maintain a high business retention rate

โ€ข Address and escalate complaints following company procedures

โ€ข Assist walk-in clients and handle incoming calls professionally

2. Claims Administration

โ€ข Verify claim documents as per company standards

โ€ข Guide clients through claim form completion

โ€ข Submit claims and outstanding documentation to Head Office

โ€ข Maintain an updated claims register

3. Policy Cancellation Advisory

โ€ข Educate clients on the cancellation process and potential drawbacks

โ€ข Offer alternative solutions such as loans, partial surrenders, or paid-up options

โ€ข Notify the Sales Manager of potential cancellations to enhance retention efforts

โ€ข Follow standard cancellation protocols as per client requests

4. Demutualization Administration

โ€ข Capture and update client information on the system

โ€ข Keep clients informed about the status of their shares

โ€ข Forward necessary information to Head Office

5. General Office Administration

โ€ข Handle mail, faxes, and data entry tasks

โ€ข Generate and compile statistical reports

โ€ข Encourage clients to participate in customer satisfaction surveys

6. Regulatory & Compliance Requirements

โ€ข Ensure compliance with FSB regulations and FAIS board notices

7. Documentation & Filing

โ€ข Maintain up-to-date record-keeping systems

โ€ข Organize and store documentation as per legal requirements

Minimum Requirements

Educational Qualifications:

โ€ข Matric (Grade 12) is essential

โ€ข FSCA-recognized qualification (Advantageous)

โ€ข Regulatory Examination RE5

โ€ข Employee Representative Registration (FSCA)

โ€ข Continuing Professional Development (CPD)

โ€ข Class of Business (COB) certification (Depending on Date of First Appointment โ€“ DOFA)

Experience:

โ€ข Minimum 2 years of experience in the Insurance Industry

โ€ข At least 1 year of Client Services experience

โ€ข Exposure to Categories A, B, C, and retail benefits (Advantageous)
