Job Overview
Client Services Administrator
We are seeking a Client Services Administrator to join our dynamic branch team in Parow. This role involves providing exceptional first-line support to clients while assisting with sales support and administrative tasks.
Key Responsibilities
1. Client Service Excellence
• Handle client queries regarding policy contracts, maturities, amendments, loan applications, and cancellations
• Maintain accurate client records by updating personal details and AIMS notes
• Offer expert guidance on products and services in line with Treating Customers Fairly (TCF) principles
• Keep clients informed about any changes to their policies
• Work closely with internal departments to resolve client issues efficiently
• Maintain a high business retention rate
• Address and escalate complaints following company procedures
• Assist walk-in clients and handle incoming calls professionally
2. Claims Administration
• Verify claim documents as per company standards
• Guide clients through claim form completion
• Submit claims and outstanding documentation to Head Office
• Maintain an updated claims register
3. Policy Cancellation Advisory
• Educate clients on the cancellation process and potential drawbacks
• Offer alternative solutions such as loans, partial surrenders, or paid-up options
• Notify the Sales Manager of potential cancellations to enhance retention efforts
• Follow standard cancellation protocols as per client requests
4. Demutualization Administration
• Capture and update client information on the system
• Keep clients informed about the status of their shares
• Forward necessary information to Head Office
5. General Office Administration
• Handle mail, faxes, and data entry tasks
• Generate and compile statistical reports
• Encourage clients to participate in customer satisfaction surveys
6. Regulatory & Compliance Requirements
• Ensure compliance with FSB regulations and FAIS board notices
7. Documentation & Filing
• Maintain up-to-date record-keeping systems
• Organize and store documentation as per legal requirements
Minimum Requirements
Educational Qualifications:
• Matric (Grade 12) is essential
• FSCA-recognized qualification (Advantageous)
• Regulatory Examination RE5
• Employee Representative Registration (FSCA)
• Continuing Professional Development (CPD)
• Class of Business (COB) certification (Depending on Date of First Appointment – DOFA)
Experience:
• Minimum 2 years of experience in the Insurance Industry
• At least 1 year of Client Services experience
• Exposure to Categories A, B, C, and retail benefits (Advantageous)
