Position Overview

Executive Assistant


We are seeking a highly organized and proactive Executive Personal Assistant to provide comprehensive administrative support to the Chief Operating Officer (COO). This role is integral to ensuring the efficient operation of the COO’s office, facilitating communication, and managing day-to-day administrative tasks.


Key Responsibilities

Executive Assistant


• Diary and Schedule Management: Efficiently manage the COO’s calendar, schedule appointments, and coordinate meetings to optimize time management.

• Travel Coordination: Arrange domestic and international travel, including flight bookings, accommodations, and itineraries, ensuring seamless travel experiences.

• Communication Handling: Serve as the first point of contact for internal and external communications, screen calls, and manage correspondence with discretion and professionalism.
• Document Preparation: Draft, edit, and format reports, presentations, and other documents, ensuring accuracy and adherence to SARB standards.

• Meeting Support: Organize and prepare materials for meetings, take minutes, and follow up on action items to ensure timely completion.

• File and Record Management: Maintain an organized filing system for electronic and physical documents, ensuring easy retrieval and compliance with SARB’s file plan.

• Project Assistance: Assist in coordinating projects by gathering information, tracking progress, and communicating updates to relevant stakeholders.

• Confidentiality Maintenance: Handle sensitive information with the utmost confidentiality and integrity, adhering to SARB’s ethical standards.

• Stakeholder Engagement: Build and maintain positive relationships with internal and external stakeholders, representing the COO’s office professionally.

• Administrative Support: Perform general administrative tasks such as expense reporting, supply ordering, and other duties as assigned by the COO.

Qualifications and Experience

Executive Assistant


• Educational Background: A National Diploma or Bachelor’s degree in Business Administration, Office Management, or a related field.

• Experience: A minimum of 5 years of experience as an executive or personal assistant, preferably within a corporate or governmental environment.

• Technical Proficiency: Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office management systems.

• Communication Skills: Excellent verbal and written communication skills, with the ability to interact effectively with diverse stakeholders.
• Organizational Skills: Strong organizational and time-management skills, with the ability to prioritize tasks and meet deadlines.

• Attention to Detail: High level of accuracy and attention to detail in all aspects of work.

• Discretion: Demonstrated ability to handle confidential information with discretion and professionalism.

• Adaptability: Ability to adapt to changing priorities and work effectively under pressure.​
