The Department of Higher Education and Training (DHET) is looking for a dynamic and professional individual to fill the role of Receptionist within its National Skills Fund division based in Pretoria, Gauteng. As a front-facing team member in one of the country’s most vital educational institutions, you’ll be the first point of contact for all visitors, partners, and stakeholders. Your role will be essential in maintaining a positive and efficient environment, ensuring that daily operations at reception run smoothly and that all guests and calls are handled with professionalism and care.

Minimum Requirements:


• A National Senior Certificate (Grade 12) or a National Certificate (Vocational) at NQF Level 4.

• Between 1 to 2 years of experience in a reception or switchboard position.

• A post-school qualification such as a Diploma or Bachelor’s Degree in Public Administration, Office Management, or a related field is an added advantage.

• Strong proficiency in Microsoft Word and Excel is essential.

• Sound verbal and written communication skills.

• A positive, client-focused attitude with a professional appearance and demeanor.

• Ability to work independently and collaboratively in a high-paced environment.

Core Responsibilities:


As the Receptionist, your duties will include:
• Answering, screening, and directing all incoming calls in a courteous and professional manner.

• Managing the department’s switchboard and ensuring accurate message-taking and call transfers.

• Keeping the internal telephone directory up to date for seamless communication within the department.

• Welcoming and directing visitors, ensuring they are signed in, issued access passes, and guided to the appropriate offices.

• Maintaining the cleanliness and orderliness of the reception and common meeting areas.

• Ensuring that brochures, pamphlets, and relevant public materials are current and accessible to all visitors.

• Booking and managing meeting rooms and visitor parking arrangements.

• Responding to routine inquiries and escalating complex queries to appropriate team members or departments.

• Supporting administrative duties including photocopying, filing, faxing, and managing outgoing communications.

• Coordinating responses to digital queries, including social media and website inquiries, and tracking these until resolution.

• Providing basic first aid support when needed.
