Job Description
A great remote, part-time (typically about 2 hours per day) opportunity exists for an efficient and highly reliable individual. This opportunity is well-suited if you are available to commit on a long term basis, working 5 days per week, to support a busy professional. As an experienced Personal Assistant you will be responsible for managing a variety of administrative and personal tasks in a cohesive and highly organised manner. Your willing nature coupled with an eye for detail will be valued.
Responsibilities:
Administrative support:
General administrative support, including document creation, copies, calendar support/managing schedules, handling correspondence and organising travel arrangements and bookings.
Communication
Strong command of the English language. Written and spoken. Engage with relevant parties as and when required on behalf of this Professional.
Travel arrangements:
Responsible for overseeing all aspects of travel including: planning, booking flights, accommodation & transfers/transportation as well as any travel admin such as Visas, documents, exchanges/refunds etc.
Tax Data entry:
Accurately input and manage tax-related data into spreadsheets and other relevant systems.
Property management:
Coordinate with property management services, including scheduling and overseeing cleaners, maintenance, and other related activities for multiple properties.
Personal errands:
Support daily activities by assisting with personal errands and tasks as required. Proactive and reliable at all times.
Laundry services:
Coordinate any laundry-related needs including delivery/collection and quality control and ensuring payments and timely service.
Record keeping:
Document and system management. Maintain organised records and files for easy access and retrieval of information.
Financial management:
Document creation. Tracking of costs/expenses. Assist with basic financial tasks, such as managing invoices & payments..
Personal record keeping and data collection:
Manage personal record keeping and data collection for multiple properties.
Other duties:
To handle competently and attend to any personal assistant responsibilities and areas requiring assistance as may be asked or identified from time to time (within reason) to support the dynamic and busy lifestyle of the professional whom you are supporting.
Requirements
- Proven experience as a Personal Assistant or in a similar administrative role.
- Strong organisational and time-management skills.
- Honest and trustworthy.
- Excellent attention to detail and accuracy.
- Proficient in Microsoft Office Suite (Excel, Word, Outlook), Google Suite and other.ย
- Strong communication and interpersonal skills.
- Ability to handle confidential information with discretion.
- Willing, flexible and adaptable to changing priorities and needs.
- Non negotiable: In possession of a valid South African driverโs license with reliable transportation.
