The City of Tshwane is inviting qualified candidates to apply for the position of Office Assistant. As a key administrative role within the municipality, the Office Assistant will provide essential support to various departments and contribute to the smooth operation of the city’s services.

 Key Responsibilities:

The successful candidate will be responsible for performing various administrative duties, including but not limited to:

1. General Office Administration:  

   – Managing day-to-day office operations such as filing, photocopying, scanning, and record-keeping.

   – Ensuring that the office environment remains organized and presentable.

2. Reception and Communication:  

   – Answering phone calls and responding to emails and inquiries in a professional manner.

   – Welcoming visitors and directing them to the appropriate departments.

3. Clerical Support:  

   – Assisting with document preparation, editing, and formatting.

   – Distributing incoming mail and dispatching outgoing correspondence.

4. Scheduling and Meeting Coordination:  

   – Managing office calendars, scheduling appointments, and arranging meetings.

   – Taking minutes during meetings and preparing meeting agendas.

5. Data Entry and Database Management:  

   – Entering data into the municipal database and ensuring the accuracy of information.

   – Maintaining and updating office records and logs as required.

6. Supplies Management:  

   – Monitoring office supplies and equipment, ensuring timely procurement.

   – Coordinating with suppliers to maintain stock levels.

7. Support for Events:  

   – Assisting in the preparation and execution of official events or workshops hosted by the city.

 Requirements:

To be considered for the Office Assistant position, candidates must meet the following requirements:

1. Educational Qualifications:  

   – A minimum of a Grade 12 / Matriccertificate is required.  

   – Further education in office management, administration, or a related field will be an added advantage.

2. Work Experience:  

   – At least **1-2 years of relevant experience in an administrative or office support role.

   – Experience in government or municipal office settings is a plus.

3. Skills and Competencies:  

   – Excellent communication skills: both verbal and written.

   – Strong organizational skills with attention to detail.

   – Proficiency in MS Office Suite (Word, Excel, Outlook, and PowerPoint).

   – Time management: ability to multitask and meet deadlines.

   – Interpersonal skills: must be professional, approachable, and have a customer-focused attitude.

4. Additional Requirements:  

   – Ability to work independently and as part of a team.

   – Familiarity with office equipment such as copiers, printers, and scanners.

   – Problem-solving skills and the ability to handle confidential information with discretion.
