Role Summary

Key Responsibilities and Accountabilities
Patient Reception and Front Desk Services
โข Provide a warm, friendly, and professional welcome to all patients, visitors, doctors, and stakeholders.
โข Direct patients and visitors to the appropriate departments, wards, or service points.
โข Ensure patients are comfortable while waiting and informed of any delays.

Patient Admissions and Data Quality
โข Accurately obtain and verify patient personal details, contact information, medical aid, and insurance information.
โข Capture and maintain up-to-date patient records within the SAP system.
โข Confirm patient information at every emergency visit or hospital admission.
โข Ensure consent forms, terms and conditions, and legal documentation are explained and signed as per Standard Operating Procedures.
โข Manage online pre-admissions, walk-in admissions, and direct admissions professionally and efficiently.
โข Attach all supporting documentation to SAP, including identification, medical aid cards, and letters of guarantee.
Medical Aid and Financial Risk Management
โข Educate patients on medical aid rules, benefits, exclusions, and co-payments using available systems and tools.
โข Verify authorisations required for medical aid admissions and follow up where necessary.
โข Ensure accurate upfront collection of co-payments in line with medical aid benefit verification.
โข Collect full estimated deposits from private and international patients in accordance with hospital policy.
โข Validate documentation for COID and international patients as per regulatory and hospital requirements.
Cash Handling and Payment Processing
โข Receive and process payments in cash and via credit card in line with standard operating procedures.
โข Issue accurate receipts reflecting correct values, payment methods, and payer details.
โข Securely deposit all funds into the designated drop safe.
โข Balance and reconcile daily transactions accurately.
โข Manage petty cash floats when assigned.
Telephonic and General Enquiries
โข Answer incoming calls within three rings using professional telephone etiquette.
โข Transfer calls promptly and accurately to relevant departments or personnel.
โข Record and relay messages clearly and efficiently.
โข Respond to patient and visitor queries with empathy, professionalism, and accuracy.
โข Assist walk-in clients with information and escalate complex queries appropriately.
Seamless Patient Journey
โข Coordinate all aspects of the patient admission process to ensure a smooth, welcoming experience.
โข Provide ongoing communication and updates to patients regarding their admission status.
โข Collaborate with nursing staff, doctors, and administrative teams to support patient flow.
โข Support the use of digital platforms such as online admissions and electronic patient records.
Administration and Reporting

Reception Area Management
โข Prepare the reception area before the start of each shift to ensure operational readiness.

โข Ensure availability of brochures, forms, and other materials.
โข Monitor waiting areas and communicate delays to patients courteously.
โข Maintain a professional appearance in line with Netcareโs uniform policy.

โข Comply with POPIA, internal governance frameworks, and hospital policies.
โข Report any policy breaches or irregularities to management.
